Position: Office Administrator & Accounts Assistant


We are currently seeking applications from suitably experienced and qualified applicants to fill the position of Office Administrator - Accounts Assistant at our office in Dublin 18. Reporting to the Finance Manager, the role will have a varied workload, including but not limited to the following duties:

Responsibilities for Office Administrator:

  • Perform reception duties, arranging and welcoming clients to meetings, diary management, booking conference calls, rooms, taxis, couriers and hotels;

  • Assisting with collation and dispatch of reports/ letters/ promotional material etc. Assisting with printing, typing, copying and binding;

  • Scan, file and distribution of incoming post.  Post outgoing mail on a daily basis including registered mail;

  • Point of contact for any on-site facilities related work undertaken.

  • Ordering office supplies, and stationery;

  • Take ownership of ad-hoc role related task as they emerge.

Responsibilities for Business Accounts:

  • Ensuring that all transactions are posted on a daily basis using the company's accountancy software package called Xero;

  • Prepare bank reconciliations on a weekly basis, and ensure unreconciled items are brought to the attention of the Finance Manager in a timely basis;

  • Responsibility for the maintenance of the debtors and creditors ledgers by daily monitoring;

  • Preparation and issue of monthly sales invoices;

  • Pay supplier invoices when due after consultation with relevant project manager;

  • Assist with month end GL reconciliations and journals;

  • Manage the staff expense process including organizing reimbursements to staff members;

  • Manage a landowner rental payments process by preparing letters and payments as they fall due.


Qualifications, Knowledge & Skills:

  • A minimum of 4 years’ experience in an office administration role inclusive of accounts administration is essential;

  • Excellent MS Excel and MS Word skills are essential;

  • Excellent organisational and communications skills essential;

  • Experience with Xero or similar accounting software is desirable;

  • A willingness to learn is also a must for this role.
